Your information, and what we do with it.

This notice explains what personal information Humation collects, why we collect it, who sees it, how long we keep it, and how you can access or correct it. It is written to meet our obligations under the New Zealand Privacy Act 2020.

Who we are

Humation is a New Zealand technology consultancy. For the purposes of the Privacy Act 2020 we are the agency responsible for the personal information described here. Our privacy officer can be reached at[email protected], and that is the address to use for any question, access request, correction request or complaint about privacy.

What we collect, and why

If you enquire through this website

Our contact form collects your name and your message. We use it only to respond to you.

If you register for the client portal

The portal lets approved clients see the full profile of a consultant: their real name, photograph and background. Because those profiles identify real people who are anonymous on the public site, we verify who is asking before we open them. To do that we collect:

  • Your name, role, email address and mobile number. So we know who is reviewing our people, and so we can arrange a discovery conversation with you.
  • Your company name, New Zealand Business Number and company number. To confirm the organisation you say you represent exists and is registered. We check these against the public NZBN register.
  • Your company website. Context for that check.
  • Your GST number, if you choose to give it. This is optional. We do not require it and you can leave it blank.

Providing the mandatory fields is voluntary, but we cannot open a full consultant profile without them, because the whole point of the registration is to know who is looking.

When you browse the public profiles

When you look at an anonymised profile on our Our Collective page, we record which profile was viewed and when, against a random identifier created in your own browser and stored there. We do not use cookies for this, we do not use any third party analytics service for it, we do not record your IP address or device details, and we make no attempt to identify you. If you later register, that earlier browsing is linked to your account so we can see what you were interested in before you got in touch. If you never register, the record is deleted after 90 days.

You can clear it at any time by clearing this site's data in your browser.

When you view a full profile

We record which consultant's profile you viewed and when, and we send a record of that view by email to three people: you, the consultant whose profile it was, and Humation. The consultant is told your name, your company and your email address. This is deliberate and it is the basis on which our consultants agree to be identified: it keeps the introduction transparent to everyone involved, so that any resulting work proceeds through Humation in good faith. If you would rather not have your details shared with a consultant in this way, do not open their full profile, and talk to us instead.

Who else sees your information

We do not sell personal information and we do not share it for advertising. We use a small number of service providers who process information on our instructions and on our behalf:

  • Supabase hosts our database, sign-in and file storage.
  • Cloudflare hosts this website and provides cookieless traffic statistics.
  • Resend delivers our email.
  • New Zealand Business Number register (MBIE) receives only the NZBN or company name you are checking. We do not send it your personal details.

These providers store information on servers outside New Zealand, including in Australia, the United States and other locations depending on the service. They act as our processors rather than as independent recipients, and they are bound to handle the information only as we instruct.

We will otherwise disclose personal information only where you have agreed, or where the law requires it.

How long we keep it

  • Anonymous browsing records: deleted after 90 days if you never register.
  • Enquiries: kept while we are in conversation with you and for a reasonable period afterwards.
  • Client registrations and profile view records: kept while your account is active, and afterwards for as long as we need them as a record of introductions we have made. Ask us to delete your account and we will, apart from anything we are required to keep.

Keeping it safe

Access to the portal is controlled at the database level, so an account can only ever read its own information and the consultant profiles it has been approved to see. Contact details are stored separately from other registration data. Consultant photographs are held in private storage and are never publicly addressable. Sign-in is by emailed link, so we never hold a password for you.

Seeing and correcting your information

You have the right to ask what personal information we hold about you, to ask for a copy, and to ask us to correct anything that is wrong. Signed in to the portal, you can see your own registration details and your own record of profiles you have viewed.

Some registration details are locked once your registration has been approved, because they are the basis on which we verified your organisation. If any of them is wrong, email us and we will either correct it or, if we do not agree a correction is needed, attach your statement of the correction you asked for to our record, as the Privacy Act provides.

Complaints

If you are unhappy with how we have handled your personal information, please tell us first at[email protected] so we can put it right. You can also complain to the Office of the Privacy Commissioner atprivacy.org.nz.

Changes

If we change how we handle personal information we will update this page and change the date at the top. Material changes affecting people already registered will be notified by email.
